I agree with Tammy. A room block is a must. Dreams was totally sold out and I still had rooms on my block. In fact Dreams kept trying to get me to release the rooms I had left and I wouldn't.

 

It helps to send Save the dates early. I did this and got verbals from a lot of people. I estimated 65 - 70, so I blocked 35 rooms and gave a $2500 deposit. I had to make my first room reduction by April. So I sent an e-mail blast to everyone asking that if they know for sure whether or not they are going to stay at Dreams, to please book their reservations by April 30th, so we can get a good estimate of how many rooms to hold on to. And that if they are still undecided, we understand that they can't book their reservation at this time. I blocked the rooms through a travel agent (and paid the travel agent my room block deposit) and gave my guests her contact info.

 

About 80% of our guests booked by April 30th. That got me through our first couple cancellations. Each deadline that approached, I reevaluated and maybe send another e-mail. I ended up reducing to 33 rooms and ended up filling them all in the end!

i think it is nuts not to have a room block especially if you are doing dreams...dates in may and april are already completely booked at dreams.

yes, sometimes with 15 or less rooms they do not need a deposit/contract. i have a client that is getting married at dreams cancun and she has 15 rooms on hold with no deposit. there are alot of factors that go into whether or not you will need to put a deposit down and price...ie. season high season or not, occupancy rate at time of making the room block, etc.

At Finisterra, we originally blocked 40 rooms for a $1000 deposit which will be applied toward our dinner/drinks. They allow rooms booked through online vendors to count toward the room block so many of our guests found much cheaper rates and reserved that way. I just have to catalog it myself and send it to our room block coordinator.

 

We had an attrition clause as well so we ended up releasing half our rooms last month. Seriously, our contract was so complicated I am fortunate that my FI and his Dad are attorneys and sorted it out. But now we have 30 reserved so we didn't even have to release that many. Our hotel also gave us an upgrade to an ultra suite since we booked 20 rooms.
