When Emails Fail....

Recommended Posts

Hi all,

Wasn't sure where to post this but thought here was as good a place as any.

Have any of you encountered either a complete lack of response or a very large lag time when emailing resorts in Mexico with wedding inquiries?  I have experienced this phenomena over and over again, and so now when I look into resorts or other vendors, I always look to see if they have a toll-free number first, and if they do I call them.  The problem is, many of them don't have toll-free numbers, only international numbers, and I don't want to rack up fees by calling internationally!!!

Anyone have a way around my little problem? I was thinking of maybe buying an international calling card and making some phone calls, but do calling cards even work with cell phones? ha.

Anyways, if anyone has any ideas, I'd love to hear them. Waiting for people to get back to me (some of whom never do) is going to drive me nuts.  smile105.gif

Some of it might be technical difficulties (yes, I've seen that happen a lot, both ways - emails go to SPAM, etc.) but also, you have to remember they don't often feel the sense of urgency that we might.  Taking weeks to respond, especially when the wedding is months away, is pretty common.  No response at all though, that's not ok in any business!  Like you said, unless you've already exchanged emails successfully it could be a technical/email issue.  To be safe, I'd call.

We've had pretty good luck getting a response within a week or two of when we email the WC (at Dreams Punta Cana) which isn't as immediate as I'd like but I try to remember that they have weddings every day and if every bride is emailing her with questions, plus they have to be there for the actual wedding, they're probably pretty busy.   Though it can be frustrating, we emailed a list of questions and to one she replied that she'll book a welcome dinner for our 39 guests, but then a few lines later said that the the place we want for our reception won't fit 60 people.  (that's nice, we don't have 60 people!)  I think calling directly would be a little expensive but you'll probably get your answers quicker.

I have had the email problem a couple of times.  I am in contact with the WC, manager and the concierge----now if I don't hear back from them within a week we have made a plan that I will resend my last email telling them I have not received a response.  On both occasions when I thought I didn't receive a response they had responded the very next day......I know this because they send the email as an attachment and it's date and time stamped.  Ugh.....frustrating but I working it!

I'm still not sure why they call this "Mexico Time".

Even some WC's get backed up on communication.  One thing is for sure, these big AI's are slammed with emails and inquiries and questions.  I mean ZILLIONS of them.  Usually the staff handling these questions are very small...

Hpefully, folks get back in touch soon!  Its our goal with the studio manager to communicate within 24-8 hrs.    One thing that helps us is the dedicated SKYPE line...  I'm still not sure why some of the vendors havent figured this one out...

good luck!

matt
