You are absolutely right that the meeting is part if his service which we you (we) are already covering in the vendor fee. Who's your WC?

I think I'm going the route of "easier to ask forgiveness thatpn permission" and I'm not going to mention it and ill just "tell" my on site coordinator when I get there vs "asking" now and risking them telling me I have to pay a fee.

Since you already mentioned it to your WC I would just be firm that you refuse to basically "pay twice" since you are already paying a vendor fee.

I will probably run into a similar issue with my photographer since I'm doing my TTD pics the day after the wedding....

For all future brides I totally agree with MK0386 about this better-to-just-not-ask policy -- i really think that's where people are running into problems with not being "allowed" to have DJ doremixx -- i just didn't ask, and no one said anything to me when i told them who my dj was.  definitely wish I'd gone that route when it came to asking about the day pass!

Honestly, would the resort even know that you are meeting them in the lobby for a meeting? I feel like the lobby space is SO big that every employee is working like crazy helping guests to check in that no one will stop and say "wait a minute, are those guests having a meeting and if they are, did they pay for this?" Just my opinion- Also, in order to avoid all these issues & extra fees we just booked our outside vendors a room for 3 nights- which came out to less than the $800 fee the resort wanted us to pay. If it's not too late you might want to do that. My DJ is meeting with us the day he should be checking in, so that way he can check in and also have the meeting with us while he's a guest there- headache avoided ;)

yeah, not only is there a locked gate at the entrance, but even to get OUT of the resort you have to prove to them that you are all paid up -- the cabs/vans won't let you elave without you having a receipt of sorts (or at least that was our experience when we were down there in October) -- so I think it'll be pretty easy for them to "force" us to pay the fee. i am basically withholding my final wedding payment right now until I get confirmation that we won't be charged the fee.

i am also frustrated because we are having two events at the same time (the beach bbq and the smores bonfire for our rehearsal), and our WC had indicated that we would OBVIOUSLY get a discount, since the charges for each of the events includes the open bar, and there's no need to be paying for that twice. of course the resort came back and said that "since it's an all inclusive resort, these charges are not for food or drink, but rather are for the services" (which, honestly, is a joke since they charge different amounts for different types of food at the "all-inclusive" resort during private events) -- so now we are paying full price for both events. i am not even bothering to push back very hard on this one, but we had better have TWO open bars if we're paying for all of those services!!!

okay sorry for all the karisma-related venting!!!

JennyBenz- Did you get confirmation that booking the room for the vendors will definitely work for bypassing the outside vendor charges? I am starting to think about just doing that, but I'm afraid they'll end up making it difficult to have him set up his equipment/etc if we haven't officially paid to have the outside vendor provide services?

Hey! I asked my WC many times to be sure I have it in writing, to avoid any issues once I arrive down there. According to WC, she said as long as they are a guest staying minimum of 3 nights at the resort, I do not have to pay the outside vendor fee. Since I booked the rooms for my outside vendors, their names will be on the rooming list we have to send to the WC, and under "relation to couple" I put "DJ -vendor" , etc. So as long as you make it known they are a paid guest for min. 3 nights you won't be hassled.I would ask your WC to confirm so you have it in writing. I plan on printing all of the many emails between myself & my WC so if the resort wants to pull a "well this is incorrect or that's not our policy" I have proof that it was confirmed.

At the least you should get 20 percent off. Are you getting 8 hours of total time? I bet not. And also, Karisma is running unlimited free private events right now. Push back.

Well, I heard back from my WC Lynda about having DJ Doremixx at our wedding. She said "At the moment, we have honored those brides that have booked with him before this policy changed for weddings in 2013 – but no further exceptions are being permitted after this year. This news was a little bit of a bummer! But, hopefully DJ All Music offered by Lomas Travel will be just as fun. Just wanted to share this information with any other 2014 brides who were looking into booking an outside vendor for a DJ.
That is so unfortunate! I don't understand... Are they no longer allowing outside vendors of any kind?

Wow that is ridiculous. And I know what you mean about them claiming it's not bc of food/drinks which like you said is bogus bc for example- for the pick and choose private dinner prices range from like 18-28 dollars/person! So frustrating.... Anyhow- I'd love to hear more about your rehearsal dinner! That's sounds like a lot of fun. What exactly is the beach BBQ? We just had a change of plans for our rehearsal dinner so now I'm looking into more options.

. I'm nervous about the same thing. I just wonder how they define "guest." You're good to go it seems since you already have yours approved.

I have printed every email for the same reason! I'm so nervous that I'm going to get there and they're going to try to tell me "oh you can't do that or you can't have this". I have all my emails printed and I highlighted the more important things so I can find things quickly bc there are a LOT of emails. Lol
