Seems to me that the outside vendor fees only applied to the photographer, because they have a contract with the Photo company.  I know I've heard (earlier in this thread) that people have used Planner1 Events and other outside services for decorating, flowers etc. and they weren't charged any outside fees.  I don't even think they needed a day pass.  I'm at work so I don't have time to search back, might be worth taking a search of this thread though!

Hello Everyone! I thought I would finally jump in and start posting!  I've been lurking for months now reading all the information I can and trying to decide which resort to choose.  Finally after reviewing many different resort and costs we chose the Barcelo Maya Palace!  We are getting married December 1, 2011.  Invitations/information were mailed out this morning!!!!!  Now we have to decide what location we want to get married and which restaurant to use for the reception.  Any suggestions?

Hello Brides,

I too am new to this site and I'm getting married at the Barcelo Maya Palace December 2011.  Claudia is my wedding planner and she is great with emailing.  Her response time has been from 2 days-1week.  I'm so happy with her!!

We too are bringing an outside photographer.  My best friend's husband is a photographer and since they are staying the week, there is no fee we have to pay.

I'm noticing that people discuss the photographer but I haven't seen too much about videographers.  If anyone has a referral or has used the resort videographer, I would love the feedback!!  Thanks so much!!

This is the question I asked and the response I received:

Are outside vendors allowed such as a photographer?  If so, then do we need to pay a day pass for each person?  How much is a day pass? We have a photo company in the resort, but if you want to bring an external one, you just have to pay a fee of $300 usd to our photo company, this fee is just to permit the access to the resort, this person can't eat or drink, if you want them to eat or drink you have to pay a day pass also, the day is $77 usd (tropical, colonial, caribe and beach) and $95 usd (palace) or you can pay him the dinner menu. Some photographer ask the bride for this, this is up to you.

Did you ask about other outside vendors Brenners?  Florists, decorators etc?

I believe it's been said somewhere in here too (man, can you tell I've been reading this thread for a while :D?) That some people opted to do the two night thing instead of $300 fee and day pass.  I know my photog is staying the night so we can do a TTD the next day. It might be cheaper for me to do the two night things.

Is that still an option?

Yes, if you get them a room, then you don't need to pay the day pass.  I believe they waive the outside photographer fee as well from what I have read elsewhere but I would check with them to be sure.  Looking at Lillian's response she doesn't really address my question related to other outside vendors.  I will ask her again and let you know her response.

The outside vendor fee is: Pay the $300 to Kodak (they have a contract with Barcelo therefore they feel they are entitled to "lost work"?!) or have your photographer as a guest at the resort- which means they would be staying at least 2 nights at the hotel. No day pass required for either option! It worked out for us that the $300 was cheaper then the 2 nights stay so we did that...and held out to the last minute to pay them too! haha

My photographer was easily able to access the resort the day before the wedding too- no day pass, no outside vendor fee had been paid yet etc...He came to meet us for an engagement shoot. They scare you into thinking that they will stop them at the gate but seemed pretty easy for my photographer and makeup/hair people...no problems!
